SmartEX boarding: QR, IC Cards and Paper Tickets
SmartEX boarding deserves a separate place on your Japan checklist, even after the reservation email arrives. For travelers leaving Taiwan, the awkward moment is often at the station: one person has the booking on a phone, another has an IC card, and neither knows which item is meant for the gate. Decide that before you put a suitcase in the queue. A working internet connection helps you retrieve information; it does not turn every confirmation screen into a ticket.
This guide concerns the international English service, checked on 28 October 2026. Its official introduction covers the Tokaido, Sanyo and Kyushu Shinkansen. Keep that scope beside your route. Do not transfer instructions from a different railway booking service merely because its screen also shows a train or a QR symbol.
Choose your SmartEX boarding method before packing
The international boarding guide offers IC, QR and paper-ticket routes. The table below is our preparation worksheet, rather than a substitute for the instructions attached to your own reservation. Fill in the last column for every person, not only the buyer.
| Chosen route | What to put together | Your final check |
|---|---|---|
| IC card | The card you actually plan to carry | Whose card is it, and which reservation are you checking? |
| Boarding QR | The document you have chosen | Can you find the intended document without searching through unrelated emails? |
| Paper ticket | A plan for collecting and carrying the ticket | Where will you complete that task before joining the gate queue? |
For the IC route, the official IC guidance requires registration; the Shinkansen charge goes to the registered credit card when booking, not the IC balance. Treat topping up a transport card and paying for the reserved journey as separate questions. Write down which card you intend to use, rather than relying on its color or on a companion remembering for you.
The QR guidance requires each traveler’s boarding QR at QR-marked gates and for exit. Before leaving your accommodation, check that the chosen version is readable. This is a practical document check, not a promise that any phone, screenshot or damaged print will scan successfully.
A pickup screen answers a different question
For paper tickets, official collection guidance specifies designated locations, a pickup code and the login password before boarding. Separately, issuing that code uses an email one-time password. Keep access to your registered email available; do not assume that buying mobile data supplies a Japanese telephone number or the authentication channel a bank might require.
Read the document name first
A pickup code is for retrieval; a boarding QR is for the chosen gate method. A similar-looking square is not enough to identify either one. If the label is unclear, open the matching official guide before approaching the machine.
Two companions, one buyer: do the handover at the hotel
Imagine two adults flying from Taiwan, spending a night in Tokyo, then continuing to Kyoto. This is an example planning exercise, not a timetable or a fare recommendation. One person made the reservation, but both should be able to explain what they will carry. Sit down with the actual booking and give each traveler a simple responsibility: find their intended document, identify their belongings, and know where to meet if they become separated.
For SmartEX boarding, this short rehearsal is more useful than collecting screenshots without knowing their purpose. Keep account passwords and payment details private. A companion can help read a station sign without receiving the buyer’s login. If you discover only a pickup code when you expected to be ready for the gate, leave time to resolve the document question rather than treating the queue as a place to experiment.
Give SmartEX boarding its own station plan
A station name alone is not an entrance plan. On your personal note, record where your preceding journey ends, which entrance you expect to use, and whether a collection task remains. Then compare that plan with the instructions for your selected method. A route that includes a conventional train deserves its own check; another traveler’s direct entrance experience may not describe your approach.
Leave space for walking, bags and asking a member of station staff. We do not give one universal arrival buffer: your route, ticket and mobility needs decide what is sensible. When something does not match, step out of the flow and explain the reservation and the document you have. Repeatedly buying data, deleting an eSIM or trying another person’s card does not establish transport permission.
Prepare connectivity around the documents
The official app information lists Express Ride for Taiwan. Browser registration is also documented. Use the official entry point you have checked, rather than changing store regions or following an unrelated download. While you still have trusted Wi-Fi, find your email and reservation, then place the information you will need within easy reach. This does not mean posting ticket images or account details in a public chat.
For ground data, the Polaris eSIM Japan total-data product listed 5GB for 30 days at TWD179 / USD5.40 and 10GB for 30 days at TWD309 / USD9.40 on the check date. These are separately displayed prices. Both examples use Roaming with Hong Kong as the stated data exit. They are not Local Network examples, rail tickets, phone-number guarantees or promises of continuous reception on a train. Check the selected option’s activation and sharing conditions before purchase; if voice, SMS or a particular verification service matters, confirm that need separately.
Leave with a method, not a folder of mysteries
Good SmartEX boarding preparation ends with three personal answers: which method you chose, what each traveler will carry, and what remains to be done at the station. Mobile data then supports checking information and contacting companions. It should not be the only place your whole journey exists. Take a final look at the actual reservation before leaving, and use the railway’s own assistance when the transport question is unresolved.
